Office Administrator (Part-Time)

Reporting to Managing Director, the Office Administrator is key to keep all reports, contracts, bookkeeping and other paperwork in an orderly manner at Foresight. You will act as a connecting link between Foresight and our funding partners. You will work closely with our accountant to accumulate and report on financial information about the performance, financial position, and cash flows of Foresight. You will love that our organization is a not for profit – but we think we should really be called a ‘for impact’ organization as our purpose is to accelerate clean technology for a sustainable future through innovative businesses and their solutions.


Office Operations

  • Support Foresight Team
  • Liason between landlord & Foresight
  • Renew business license annually
  • Order office supplies & catering as needed Kitchen supplies are provided by i-On Connect

Accounting / Book Keeping

  • Prepare and send invoices to clients and follow up
  • Receive and process payments in accounting system
  • Prepare cheques for Managing Director to deposit in bank
  • Process bills – enter details in accounting system, prepare cheques for signatures, and mail signed cheques out
  • Pay monthly bills online
  • Prepare transactions in spreadsheet for accountant to reconcile monthly with bank statements
  • Liaise with auditors for quarterly audits
  • Generate reports for BCIC for Foresight through Foresight system

Record Keeping

  • Prepare contracts for clients
  • Prepare contracts for new employees, EIRs, and contractors
  • File hard copies of signed contracts and save soft copies
  • File WD claims quarterly
  • File IRAP claims monthly – with detailed report

CRM Upkeep

  • Collect data from clients for quarterly input into SalesForce
  • Send out quarterly metrics and datasheet to Managing Director for approval
  • Run reports in SalesForce and analyze results for meaningful improvement suggestions

Ideal Profile

  • Minimum 3 years bookkeeping experience
  • Experience in the management of multiple government contracts and knowledge of Provincial and Federal financial reporting requirement would be an asset
  • Must have excellent computer skills and willingness to upgrade computer skills, as required
  • Knowledge of non-profit community-based programs and services would be an asset
  • Ability to multitask and prioritize daily workload
  • Exemplary planning and time managements kills
  • High level verbal and written communication skills
